How to Reconcile Shopify Payouts With Your Bank Deposits
If you've ever compared a day's sales in Shopify to what actually landed in your bank account, you've noticed they never match. That's normal — but it trips up a lot of sellers trying to do their own books, because a "payout" is not the same thing as "sales."
What's actually inside a payout
Shopify doesn't send you money the moment a sale happens. It batches sales over a period, nets out several things, and deposits the result — usually a few days later. A single payout typically bundles:
- Gross sales for the period
- Refunds issued during that period
- Shopify Payments processing fees
- Adjustments, such as chargebacks or held reserves
The number that hits your bank account is the net of all of that — which is why it never lines up with what you sold that day.
How to reconcile it correctly
- Pull the payout report from Shopify (Settings → Payments → Payouts), which breaks each payout down into its components.
- Record gross sales as revenue, not the net payout amount.
- Record refunds against revenue, and Shopify's processing fees as a separate operating expense.
- Match the total to the bank deposit — gross sales, minus refunds, minus fees, minus any reserve held back, should equal the amount that landed in your account.
Reserves are worth watching separately: Shopify sometimes holds back a portion of a payout as a rolling reserve, especially for newer or higher-risk accounts. That held amount isn't gone — it typically gets released later — but if you don't track it, your books can look like money went missing.
Why this is worth doing properly
Get this wrong and two things happen quietly: your reported revenue understates what you actually sold, and your true cost of selling — the fees you're paying Shopify on every transaction — disappears from your expenses. Both distort your margin, which matters the moment you're pricing products, deciding on ad spend, or handing numbers to a tax preparer.
Rather not track reserves and fees by hand every month?
